Small newspaper panel
Use 8–12 entries, short clues, and a compact answer key placed elsewhere. Best for a single column or a secondary page.

Build the puzzle as a separate production component, then place a reviewed SVG or PDF into Canva, InDesign, Affinity Publisher, or another layout tool. This keeps the crossword legible without forcing the whole newspaper into a puzzle generator.
Step 1
A crossword designed without a target space often ends up squeezed into a narrow column or enlarged until its clues become awkward. Start by measuring the usable area inside the newspaper layout—not the full paper size. Exclude the masthead, folds, trim uncertainty, page margins, and any neighboring photos or stories.
Use 8–12 entries, short clues, and a compact answer key placed elsewhere. Best for a single column or a secondary page.
Use 10–18 entries with two clue columns. This gives personal names more room to connect and is easier to solve at the table.
Use fewer, larger cells if guests will write while standing. Newspaper density is usually too small for a shared easel puzzle.
Record the available width and height, units, orientation, minimum safe margin, color mode, and required file format. The print specification handoff tool creates a reusable brief.
Step 2
Personal names and places are meaningful, but they are harder to interlock than ordinary dictionary words. Ask for more entries than you expect to use. For a finished 12-entry puzzle, collect about 15–18 approved possibilities so weak connectors can be omitted without inventing facts.
If an entry cannot connect, do not shrink the entire design to force it. Replace it, shorten it with the couple’s approval, or move that fact into another newspaper section.
Step 3
The first proof should answer production questions before typography and decoration distract from them. Check that every included answer appears once, every clue points to the intended answer, numbering follows reading order, and no answer is accidentally exposed.
Ask someone who does not know the construction process to solve the proof. They will find ambiguous clues, alternate spellings, and private references that the designer and couple may overlook.
Step 4
| Format | Use it when | Watch for |
|---|---|---|
| SVG | The studio needs to resize the crossword, recolor it, or place it into Canva, Affinity, or InDesign. | Keep text legible after import and verify that the layout app has not substituted fonts. |
| The crossword is approved at a fixed size or will be delivered directly to a printer. | Place it at 100% scale when possible and confirm the PDF box and intended dimensions. | |
| PNG/JPG | Only as a compatibility fallback or preview. | Raster files can soften grid lines and clue text. Export at the final physical size and sufficient resolution. |
For a white-label studio workflow, an editable SVG plus a fixed PDF proof is the safest pair: one supports layout changes, while the other records the approved appearance.
Step 5
Step 6
Place the SVG or PDF as a linked asset instead of copying individual grid elements. Fit the content proportionally inside the reserved frame, then use the Links or Resource panel to confirm that the source is current. If the printer requires bleed, extend the newspaper’s background artwork—not the crossword grid—unless the grid is intentionally full bleed.
Before packaging the newspaper, run a preflight for missing fonts, overset text, low-resolution images, color-space warnings, and objects outside the printable area. The crossword should remain a self-contained block, which makes later replacement safer.
Step 7
Even when the final run uses newsprint, an office-printer proof at actual size catches most scale problems. Ask someone to read the longest clue and write several letters in the cells. If either action feels cramped, simplify before the paid print run.
The grid shape does not match the available newspaper panel.
Thin lines and small clues become soft or uneven in print.
The grid becomes sparse, oversized, or difficult to read.
The couple or planner has no dependable reference during the event.
Clue lines wrap differently from the approved proof.
Cells or clues land in the least readable part of the newspaper.
Eight to twenty is a practical range. The right number depends on the available panel, final print size, clue length, and whether the clues sit beside or below the grid.
You can place and style a finished puzzle in Canva, but manually maintaining crossings, numbering, and an answer key is error-prone. Construct and review the puzzle first, then import it as an SVG or PDF.
Personal names and places usually work more reliably in a connected freeform grid. A fully filled American-style grid requires many ordinary filler answers and professional construction skill, which can dilute the personal story.
Usually no. Treat it as an interior component and keep it inside the safe area. Confirm the full newspaper document’s bleed with the printer.
